Authentication & Data Collected

We use Discord OAuth for authentication. When you sign in with Discord, we collect the information necessary to identify your account and provide DHS services, including: Discord User ID, username, display name, avatar, and Discord server membership information. Discord server membership information may include whether you are a member of the DHS Discord server, the primary DHS community server, and other affiliated CalFX-related community servers. This information is used for account verification, application processing, background checks, role assignment, and administrative purposes. We do not collect or store this information from users who do not sign in through Discord. We do not collect your Discord email address.

Background Checks & Verification Data

Some DHS application and background check processes may require verification of a user's Discord community affiliations. During these processes, DHS may check whether a user is a member of specified Discord servers associated with DHS or CALFX communities. Results of these checks may be stored as part of the user's application or administrative record. This information is used only for community administration, eligibility verification, and maintaining roleplay community standards.

Cookies & Site Storage

The site uses minimal cookies required for operation: a session cookie for authenticated sessions and an optional persistent cookie to store site preferences (for example, theme selection). If you do not use Discord login, no account-linked data is stored beyond these necessary cookies.

How We Use Data

Data Retention & Deletion

Application and background check records may be retained for administrative purposes, including maintaining records of approvals, denials, and user eligibility decisions. Users may request deletion of stored personal data; however, some administrative records may need to be retained for security, moderation, or historical record purposes.

Security

We take reasonable measures to protect stored data, including secure database storage and access controls. No transmission method or storage is completely secure; however, we follow standard best practices to limit unauthorized access.

Age Requirement

Users must be at least 13 years old to use this website in accordance with Discord’s Terms of Service. We do not independently verify age but expect compliance with platform requirements.

Third-Party Services

We use third-party services such as Discord for authentication and may link to external platforms for functionality or resources. These services operate under their own privacy policies and terms.

DHS is not responsible for the availability, security, or data practices of third-party services, including Discord.

Affiliation Disclaimer

This project is an independent community roleplay initiative and is not affiliated with, endorsed by, or connected to the United States Department of Homeland Security or any other government agency. All references to "DHS" are used solely for roleplay and community identification purposes.

DHS is operated by its administrative staff and maintainers, who are responsible for managing data collected through this website. All privacy-related requests should be directed to DHS staff via the official Discord server.

Data Sharing

We do not sell, rent, or trade user data. Information collected is only shared internally within DHS systems or with required third-party services necessary for functionality (such as Discord authentication). We do not sell, rent, or trade user data to third parties.

Technical Information
